How to choose the right appointment software in 2026
A step-by-step guide to discarding 80 % of the bad products for your case in under an hour. No marketing — only verifiable criteria and the questions you must ask before signing.
Free plan forever. No credit card. 0 % commission.
Choosing appointment software should not be hard, but most businesses lose weeks comparing features they will not use while overlooking the five questions that really matter. This guide is written so that, in one hour of reading and 30 minutes of concrete testing, you have a clear finalist and the confidence to sign.
It works for hair salons, barbershops, beauty centres, dental clinics, physiotherapy, psychology, coaching, training and any business that charges per session and handles more than 5 appointments a day. If your volume is lower, you probably do not need a dedicated software and your phone calendar is enough.
The structure is simple: first the 9 criteria that separate a good product from a mediocre one for your specific case, then a checklist of real tests you can run in an afternoon, and finally how to calculate real cost (not plan cost, real cost with every commission, SMS and module) to compare apples to apples. If you only take one idea away, let it be this: do not compare products, compare how each product solves your case.
10 decision criteria
Ask these 10 questions to every product you evaluate and you discard 80 % of the wrong ones for your case.
- 01
Is it designed for your specific industry?
A generic software works if your case is standard. But hair salons have breaks, chained services (wash+cut+blow-dry) and professionals with different hours; dental clinics need patient-linked history; physiotherapists have 50-minute sessions with 10-minute rests. If the product you are looking at forces you to bend your business to fit its model, look for another. Marai is calibrated for the 14 industries we see most in Spain and that shows from day one.
- 02
Which channel do your clients use to book?
In Spain, in in-person industries, WhatsApp is the dominant channel. Your clients prefer to send a message rather than call, and most will not install a specific app for your business. If your product does not have a decent AI WhatsApp bot and only offers a web portal or a client app, you will lose bookings. The exact question to ask the salesperson: "how does a new client book at 10 p.m. without calling and without installing anything?". The answer decides the choice.
- 03
What is the full pricing model?
Do not just look at the monthly plan. Ask about: per-booking commission (yes/no, how much), payment processing (their own Stripe or yours, what percentage), SMS (included or extra), optional modules (forms, loyalty, marketing), number of professionals included, number of services. Ask sales for a PDF with the full model for your estimated volume. If they will not give it clearly, bad sign: an opaque model usually hides costs that appear in month three.
- 04
Where is your data and who signs the DPA?
Under GDPR, you (the business) are the data controller; the software is the data processor. If servers are in the US you need extra safeguards and liability with data-protection authorities falls on you. Ask exactly: where the servers live, in which country, whether there are sub-processors in third countries, and whether they sign a DPA aligned with European data-protection authority guidance. Marai hosts in the European Union, signs a DPA and publishes its sub-processor list.
- 05
How do you export the data if you want to leave?
This is the question that separates honest products from the ones that want to lock you in. Ask to see the export screen today: can you download your clients with their full data in CSV, can you download historical appointments, in what format, is there a cap on how many times you can export. If the answer is "you have to ask support" or "it exports in a proprietary format", the exit cost is high and you are entering an asymmetric relationship from day one.
- 06
What support do you have, and on what hours?
When something breaks, two questions matter: what language do they reply in, and how fast. English-only support with a 48-hour SLA is useless on a Saturday at 7 p.m. with the salon full. Before signing, send a concrete question to support (not to sales) outside business hours and measure. Marai replies in Spanish by email and offers a direct WhatsApp channel for paying customers on extended business hours.
- 07
What integrations does it actually have?
Marketing pages typically list 50 integrations, but half are beta or require the top plan. Ask about the five you will actually use: Google Calendar (to avoid clashing appointments), Stripe (for payments), WhatsApp Business (for bookings), Gmail (for confirmations), Zapier (to connect with your tools). If those five are not in the mid plan, the rest does not matter. Marai includes the five in the Starter plan.
- 08
How does it manage no-shows?
No-shows are problem number one in in-person industries. A good software lets you charge deposits (10-30 % at booking), sends staggered reminders (24 h and 2 h before with confirmation), allows cancellations with time rules (free cancellation window, no refund afterwards) and gives you data on which clients miss most. If the product you are looking at does not touch one of these four, no-shows will keep costing the same as with the paper diary.
- 09
How does it scale with your team?
If today you are 1 professional and in 6 months you will be 4, make sure the pricing model does not explode. Some products charge per user and go from €30/month to €120/month as you grow; others have flat pricing for a reasonable number of professionals. Ask about the cost curve at 3, 5 and 10 professionals before signing. Transparency here is also a signal of product quality.
- 10
Is there a real free plan to test without risk?
A decent free plan or at least a 14-day trial lets you test without commercial pressure. If the product can only be tested in a guided demo or after leaving a credit card, there is a sales incentive on the salesperson that distorts the information. Marai has a free plan forever for 1 professional with a basic AI WhatsApp bot, so a sole trader can really evaluate it before paying.
Before you start: define your case
The first mistake is searching for "the best appointment software" without defining what "best for you" means. Grab a pen and answer: how many appointments per month do you handle today, how many professionals, what percentage of clients prefer WhatsApp over calling, do you charge deposits or pay-at-end, do you need Google Calendar integration, is your volume stable or seasonal?
With those six answers you can already discard half the market. A sole trader with 80 appointments a month and clients who write on WhatsApp has a very different case from a dental clinic with 4 dentists, clinical history and pay-in-clinic. Comparing Calendly against Marai against Treatwell without that baseline is wasting time: each one wins in a different case.
How to test two finalists in an afternoon
Once you have 2-3 candidates, the testing protocol is the same for all three: 1) sign up for the free plan or trial, 2) configure three real services with their prices and durations, 3) add a fictitious professional if you have a team, 4) open the booking portal on a relative’s phone and book an appointment as a client, 5) verify that the reminder arrives at the right moment, 6) cancel and check whether the slot is released, 7) message support on a Saturday afternoon with a concrete question and measure how long they take.
These seven steps cost 30-45 minutes per product and discard the ones that look good in a sales demo but break in real use. If neither of your two candidates passes the seven steps, go back to the list and test a third before signing.
How to calculate real cost (not plan cost)
The monthly plan is only one piece. To calculate the real annual cost, add five lines: monthly fee × 12 + booking commissions (if any) × estimated monthly volume × 12 + payment gateway commissions × volume × 12 + SMS cost if SMS is on a higher plan + extra modules if paid separately.
A real case: product A at €0/month with 3 % commission on bookings + Stripe at 1.5 % on payment = in a hair salon billing €4,000/month in bookings, that is €120 of commission + €60 of Stripe = €180/month. Product B at €49/month with 0 % commission + Stripe at 1.5 % = €49 + €60 = €109/month. The "free" one costs €71 more per month than the paid one. Doing this calculation before signing saves you between €500 and €2,000 a year.
What to do if your team resists the change
Resistance to change is real. If you have been on a paper diary or Excel for 5 years, your team will complain for the first two weeks. Three tactics that work: 1) pick a product with guided onboarding and Spanish support (so the first friction point is not the team learning alone), 2) run the first weeks in parallel (paper diary + software at the same time) so nobody feels they are losing control, 3) show the first metrics at 30 days (automatic confirmations, time saved on calls) — data convinces better than rhetoric.
If your product cannot show visible data at 30 days, that is a bad sign. Marai has an occupancy and bookings dashboard that loads as soon as you start using it.
When you do NOT need appointment software
If you handle fewer than 3 appointments a day, you are a single person, your clients call you directly and they never forget to come, you probably do not need software. The investment (in learning time, in monthly fee) does not pay back at your volume. Your phone calendar and a WhatsApp group with regulars are enough.
If on the other hand you handle 10+ appointments a day, you have a team, your clients prefer WhatsApp, you have had a double-booking in the last 3 months, or you have missed calls while serving a client, the software pays for itself within weeks. The question is not "do you need it" — it is which one.
Mistakes we see every week
Four recurring patterns in businesses that switch software after 3-6 months: 1) picking a US or UK product without checking the fit with WhatsApp and Spanish from Spain (in Spanish, "agendar" and "reservar" are not the same), 2) buying features they will not use (CRM, marketing automation, inventory) instead of a well-built core, 3) ignoring the commission model because "the plan is free" without adding bookings × commission, 4) signing long contracts without testing the real flow with a relative as the client.
If you dodge these four mistakes, you are in the top 20 % of decisions. And the gap between top 20 % and average 80 % is measured in hours per week and in revenue: a well-chosen software recovers 5-10 hours of administrative work per week in a medium-sized business.
Marai is appointment-management software with an AI WhatsApp bot, automated reminders and Stripe payments. Built for Spain and the EU, with native GDPR compliance and 0 % booking commissions.
Frequently asked questions
The most important answers before you pick an appointment software.
How long does it take to migrate from one software to another?
With CSV-exportable data, a manageable migration is 2-4 hours for a medium-sized business. If it requires manually recreating clients and appointments because the old product does not export, it can cost 1-2 days of equivalent work.
What is the main trap when choosing appointment software?
Looking only at the monthly plan price without adding per-booking commissions, payment gateway commissions, separate SMS and extra modules. A "free plan" with 3 % commission on €4,000/month of bookings costs €120/month in hidden cost.
Is it a good idea to switch software when I am already operating?
Yes, if the current one limits you or overcharges. The key is planning the migration: export data, configure the new one in parallel, switch on the quietest day of the week and keep the paper diary as backup for 7 days. We see clinics and salons migrate without losing a single appointment.
Does Marai work for my industry?
Marai is calibrated for 14 industries: hair salons, barbershops, beauty centres, dental clinics, physiotherapy, spa, fitness, yoga, psychology, dentistry, veterinary, tattoo, coaching and training. If your industry is outside that list, check whether your model fits multi-professional appointments + WhatsApp bot + Stripe; if it does, Marai works.
How long do I need to evaluate a software seriously?
One hour of reading per product + 30 minutes of real testing with a relative as the client. If you run this protocol with two finalists, you have a solid decision in one afternoon. What takes time is comparing 8 products at once with no method.
Is an annual contract with discount better, or monthly with no commitment?
Monthly with no commitment for the first 2-3 months to validate fit. After 3 months, if the product works, the annual contract with discount saves 15-25 %. Do not sign annual without testing first with real appointment volume.
