How to choose and configure appointment reminders

Practical guide to designing a reminder chain that reduces your no-shows by 30-50 %. Decision criteria, templates and real metrics.

Reminders are the highest cost-to-benefit lever in any appointment business. The investment is marginal (good products ship them included), the implementation takes an afternoon, and the no-show reduction shows in 2-4 weeks.     Which channels does it support from origin?

    At a minimum WhatsApp + SMS. Email is necessary but as detailed initial confirmation, not as primary reminder. WhatsApp is the number-one channel in Spain for proximity services due to immediate open rate. If your product does not support native WhatsApp Business API or only includes it in the top plan, consider another option.

    Does it allow multiple cadences by default?

    Does it work in my time zone and within working hours?

    If you have clientele in the Canary Islands or international, reminders must respect the client’s time zone. - Hair salons and barbershops: 24 h before (WhatsApp) + 2 h before (WhatsApp). The service is routine and the slot is remembered with a short prompt. - Beauty and spa: 24 h + 2 h, with emphasis on prior preparation if there is any (e.g. "do not apply body cream before the treatment"). Beauty services sometimes need pre-warnings. - Dental clinic: 7 days before (long appointments) + 24 h before + 2 h before. Check-ups are booked months ahead, the 7-day reminder filters long-term forgets. - Physiotherapy and podiatry: 24 h + 2 h, similar to hair salon but with physio instructions if any. - Coaching and online training: 24 h + 30 min before with link to the video call (do not wait until 2 h because the link can be lost in chat). - Veterinary: 24 h + 2 h with instructions (e.g. "the animal must arrive fasted").

These are starting recommendations. Measure your metrics at 4 weeks and adjust.

Templates that work

A good reminder template fits in 4 lines, uses the client’s name, specifies service + professional + time + address and ends with a confirm/cancel button. Example cadence:

24 h before (WhatsApp): "Hi María, this is a reminder for your appointment tomorrow at [Business]. Service: colour and highlights with Carlos. Time: Thursday 12 at 17:30. Address: Mayor St 12, Madrid. Confirm? [Yes, I will be there] [Change / cancel]".

2 h before (WhatsApp): "Hi María, in 2 hours we are waiting for you for your colour with Carlos. If you are running short on time, write us before. See you soon!"

How to comply with GDPR effortlessly

Automatic reminders on WhatsApp, SMS or email fall within GDPR scope: the client must have given explicit, recordable and revocable consent. Best practice:

1. On the booking form, a markable checkbox: "I agree to receive reminders and confirmations by WhatsApp and SMS about this appointment". 2. Record the consent with timestamp, IP, exact checkbox text and privacy policy version. 3. Clear "I do not want more reminders" button on every message (on WhatsApp, "STOP" message or equivalent). 4. DPA signed with the software provider.
