WhatsApp Message Templates for Service Businesses

A well-crafted WhatsApp message can make the difference between a client who confirms their appointment and one who does not show up. Between someone who books again and someone who forgets you exist.

But writing effective messages takes time. And when you have 20 or 30 clients a day, writing each one manually is not feasible.

Here are proven templates for the most common situations in service businesses. Copy them, adapt them with your business details, and use them directly — or set them up as automated messages in your management system.

Principles for a Good WhatsApp Message

Before the templates, three rules that apply to all of them:

Brevity. A WhatsApp is not an email. Maximum 3–4 lines of text. If you need more, use a link.

Personalisation. Always include the client’s name and the specific details of their appointment (service, date, time). A generic message gets ignored; a personalised one gets read.

Clear call to action. Every message should have one thing the client can do: confirm, cancel, book, leave a review. Give them five options and they will do none of them.

First-Time Booking

Remember: free cancellation up to 24 hours before. After that, the deposit is retained.

Reminder Templates

Automatic reminders are the most effective tool against no-shows. The key is to ask for an active response.

24-Hour Reminder (With Confirmation Request)

2-Hour Reminder

This second reminder is shorter and more direct. It does not ask for confirmation — it simply reinforces the appointment for anyone who may have lost track of the day.

Reminder for New Clients

Hi [name], your first appointment at [business] is tomorrow: 📅 [date] at [time] 📍 [address]

We recommend arriving 5 minutes early. If you have any questions, message us here.

For new clients, the address is essential. It also helps to anticipate what they need to know (whether to bring anything, where to park, etc.).

Post-Appointment Follow-Up Templates

The review request works best with a 2–3 day gap. The same day can feel too pushy; a week later, the client barely remembers the details.

For clients who have not booked in a while. The tone should be warm, never pushy or guilt-inducing.

Best Practices for WhatsApp Business

Respect Sending Hours

Do not send messages before 9 am or after 9 pm. Morning reminders work well between 9 am and 10 am. Evening-before reminders work best between 6 pm and 8 pm.

Do Not Overwhelm

A client should receive no more than 3–4 messages per appointment: confirmation, 24h reminder, 2h reminder, and post-appointment follow-up. More than that is perceived as spam.

Always Use the Client’s Name

Personalised messages have a significantly higher response rate than generic ones. If your system supports it, also include the service name and the assigned professional.

Always Include an Opt-Out

Every promotional or reactivation message must offer the option to stop receiving communications. This is a legal obligation under GDPR and a matter of basic respect.

Adapt the Tone to Your Business

Templates are a starting point. A luxury spa does not communicate the same way as a neighbourhood barbershop. Adapt the language, the emoji usage, and the level of formality to match your brand.
