No-Shows in Spain: Statistics by Sector and How to Combat Them

By Marai ·

No-shows — clients who book and do not appear without warning — are the most silent economic problem in service businesses across Spain. They do not generate headlines, they do not appear in the accounts as a visible expense, and they are rarely tracked correctly. But every empty slot is real money that never comes in.

Understanding the scale of the problem is the first step toward solving it. Here we compile available estimates of no-show rates by sector, the calculated economic impact, and the tools that have proven to reduce them.

Estimated No-Show Rates by Sector

Exact figures vary depending on the source, geography, and type of business, but the ranges used in the Spanish service industry are consistent. These are estimates based on aggregated industry data, not figures from any single study:

SectorEstimated No-Show RateTypical Range
Hairdressers and barbershops15 - 20%Higher for low-value appointments
Beauty centers12 - 18%Rises with non-recurring treatments
Dental clinics10 - 15%Lower with ongoing treatments
Physiotherapy10 - 15%Single sessions worse than packages
Psychology and coaching8 - 15%Varies widely by format (in-person vs. online)
Fitness and personal training20 - 25%The highest, especially for group classes
Spas and wellness centers8 - 12%Lower when upfront payment is required
Veterinary10 - 15%Similar to the human healthcare sector

What Influences Each Sector’s Rate

Service price. Lower-priced services tend to have more no-shows. A €15 haircut generates less commitment than a €200 treatment. The client perceives that they “do not lose much” if they do not show up.

Recurrence. Clients with recurring appointments (weekly physiotherapy sessions, monthly beauty treatments) miss fewer than those who book sporadically. Routine creates habit, and habit reduces forgetting.

Booking method. Online bookings without a deposit have more no-shows than bookings with upfront payment. The friction of paying acts as a commitment filter.

Appointment time slot. First appointments of the morning and last appointments of the evening tend to have more no-shows than midday slots. Mondays and Fridays more than Wednesdays.

Time between booking and appointment. The more time that passes between the booking and the appointment, the greater the probability of a no-show. An appointment booked a month ago is more easily forgotten than one booked two days ago.

Economic Impact: The Math Nobody Does

Let us run the numbers for a typical business:

Starting data:

  • 20 appointments per day, 5 days a week
  • Average service price: €45
  • No-show rate: 18% (within the typical range for hairdressers and beauty)

Calculation:

  • Daily no-shows: 20 × 18% = 3.6 lost appointments
  • Daily lost revenue: 3.6 × €45 = €162
  • Per month (22 working days): 162 × 22 = €3,564
  • Per year: 3,564 × 12 = €42,768

That is over forty thousand euros per year in revenue that never reaches the till. And that is without counting the fixed costs that keep running during those empty slots: rent, wages, utilities.

Why the Numbers Deceive

Many business owners underestimate their no-shows because they do not formally track them. If you do not have a system that logs every no-show as such, perception is always better than reality.

“The occasional client misses” becomes, in aggregate, thousands of euros. But because there is no “empty slot” invoice, the cost blurs and goes unnoticed.

Which Sectors Suffer Most (and Why)

Fitness and Personal Training: The Highest Rate

The fitness sector leads in no-show rates for several reasons. Group classes can be booked at no cost and with no commitment. The client thinks “I’ll go if I feel like it.” Motivation fluctuates with the day and the weather. And if the class fills up with other participants anyway, the individual’s absence is invisible.

What works here: A limit on simultaneous bookings, penalties for repeated no-shows (temporary booking block), payment per class or prepaid session package.

Hairdressers: High Volume, Low Commitment

Hairdressers handle many appointments per day, with services ranging from €15 to €80. Lower-priced services generate less commitment. Additionally, the hairdressing client typically books days in advance, which increases the probability of forgetting.

What works here: WhatsApp reminders 24 hours before with active confirmation, deposits for color and treatment services (which block more time and use specific materials).

Clinics and Healthcare: The Most Controlled

The healthcare sector has somewhat lower rates because the reason for the appointment is usually more urgent or necessary (pain, a scheduled review). Even so, a 10-15% no-show rate in a clinic with €60-120 consultations is a serious problem.

What works here: Double reminder (24h + 2h), an online cancellation portal so patients can give notice easily, a waiting list to fill released slots.

Digital Tools That Reduce No-Shows

Not all channels and tools have the same impact. Here they are, ranked by effectiveness:

1. Automatic Reminders with Active Confirmation

This is the most universally effective tool. A WhatsApp reminder 24 hours before the appointment, asking the client to confirm or cancel, consistently reduces no-shows across all sectors.

The key is active confirmation: informing is not enough. The client has to respond. Those who do not respond remain a risk.

Reminder ChannelEstimated Read RateEffectiveness Against No-Shows
WhatsAppVery highThe most effective
SMSHighEffective, especially for those over 60
EmailModerateLess effective alone, useful as backup
Phone callHighEffective but not scalable

2. Deposits at Booking

A deposit transforms the booking from an intention into a financial commitment. Businesses that charge between 20% and 50% of the service at the time of booking report significantly lower no-show rates than those that charge nothing upfront.

3. Automated Waiting List

This does not prevent the no-show, but it neutralizes its impact. When a client cancels (or does not appear), the system instantly notifies the next client on the waiting list. If the waiting list operates quickly, the slot fills before it is too late.

4. Client Reliability Scoring

A system that tracks each client’s history (completed appointments, cancellations, no-shows) allows you to make data-driven decisions: for example, requiring a deposit only from clients with a history of no-shows, without penalizing those who always follow through.

5. Easy Cancellation

Paradoxically, the easier it is to cancel, the fewer no-shows there are. A client who can cancel with a “No” via WhatsApp or a click on the portal will cancel in time. One who has to call by phone will simply not show up.

The Winning Combination

No single tool completely solves the problem. The combination the data shows to be most effective:

  1. WhatsApp reminder 24h in advance with active confirmation
  2. Deposit for mid-to-high-value services and new clients
  3. Easy cancellation via WhatsApp or online portal
  4. Waiting list to fill released slots
  5. Double reminder (24h + 2h) to maximize coverage

Businesses that implement this complete set report no-show rates below 5%, compared to the typical 15-25% without any tools in place. The difference, for a business with 20 daily appointments at an average of €45, can exceed €30,000 per year.

Start with What Has the Most Impact

If you have nothing implemented yet, do not try to do everything at once. The priority order, by impact and ease of implementation:

  1. Automatic reminders — Immediate impact, minimal cost
  2. Deposits — Requires a payment processor, but the effect is dramatic
  3. Waiting list — Complements the two above
  4. Reliability scoring — To fine-tune over time
