How to confirm appointments automatically via WhatsApp

Confirming appointments is one of the most repetitive and tedious tasks in any service business. Every day, the same routine: check the next day’s calendar, send messages one by one, wait for replies, chase the ones who do not respond, update the schedule with cancellations.

Email link
The client receives an email with a direct link to confirm or cancel. It works well as a complementary channel alongside WhatsApp, particularly for clients who prefer email or for appointments booked through web portals.
Email has a lower open rate than WhatsApp, but it is still effective as a second channel. The WhatsApp plus email combination covers virtually 100% of clients.
Phone call
For certain clients or high-value services, a telephone confirmation is still necessary. The system records the manual confirmation when the professional marks that the client confirmed by phone.
This method costs the most in time, but for high-value appointments or older clients who do not use WhatsApp, it remains valuable.
Manual confirmation
The professional can mark an appointment as confirmed from the management dashboard. This is useful for in-person confirmations or when a client confirms through a channel that is not integrated.
The most effective combination
The strategy that works best for most businesses is:
- WhatsApp reminder 24 hours before with a confirmation request using interactive buttons
- Email reminder 24 hours before as a backup channel, with a confirmation and cancellation link
- Second WhatsApp reminder 2 hours before without a confirmation request, just a brief heads-up
The first reminder catches clients who had forgotten and gives them time to cancel if they cannot make it. The two-hour reminder is a final nudge for same-day stragglers.
What happens when a client does not respond
Not every client will confirm. When faced with silence, there are several strategies:
If you have a full waiting list: you can set a policy where no confirmation 12 hours before means the slot is released. Always communicate this policy upfront.
If demand is lower: keep the appointment and send the second reminder (2 hours before). Most non-responders do show up — they simply did not see the message or did not bother to reply.
For clients with a history of no-shows: a system with a reliability score lets you identify clients who routinely fail to respond and do not appear. For these clients, you can require a mandatory deposit for future bookings.
Confirmation and cancellation: two sides of the same coin
An automatic confirmation system does not just get clients to confirm. It also makes it easy for them to cancel in time. And a timely cancellation is far better than a silent no-show.
When a client cancels via the WhatsApp button or the email link:
- The appointment is cancelled automatically
- The slot is released immediately
- If there are clients on the waiting list, the next one receives a notification to claim the slot
- You do not have to do anything
The result is that cancelled slots fill faster. What was previously a lost appointment becomes a booking for a new client.
